Receptionist

Job Summary

This role require excellent communication skills, strong organizational abilities and a personal demeanor  

The receptionist will be responsible for managing incoming calls greeting visitors.

We are seeking a friendly, organized and customer oriented Receptionist to join our team.

The receptionist will be coordinating appointments, providing administrative support to various department.

 

Responsibilities

  • Greet visitors and provide a warm welcome, ensuring a positive first impression of the company.
  • Answer and direct incoming calls, take messages when necessary, and forward calls to appropriate personnel. Manage the reception area, ensuring it is clean, organized, and well-maintained at all times.
  • Schedule appointments and meetings, coordinating with staff members.
  • Assist with administrative tasks such as data entry, filing, photocopying, and document preparation.
  • Handle incoming and outgoing mail, packages, and deliveries, ensuring their proper distribution to the respective departments or individuals.
  • Maintain an up-to-date and accurate record of visitors, appointments, and calls, utilizing the company's electronic systems or manual logs.
  • Respond to inquiries from visitors, clients, and employees, providing accurate information or directing them to the appropriate person.
  • Assist with other ad-hoc tasks and projects as assigned by the management team.


Qualifications and Requirements

  • High school or equivalent qualification.
  • Previous experience as a receptionist, customer service or in a similar role is preferred. Preference: Female candidates.
  • Excellent verbal and written communication skills, with friendly and professional phone and email etiquette.
  • Strong organizational skills, with the ability to multitask and prioritize responsibilities effectively.
  • Proficiency in using office equipment such as a telephone system, printer, scanner, and photocopier.
  • Proficient in using computer applications such as Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Exceptional interpersonal skills and the ability to work well in a team environment.
  • Professional appearance, punctuality, and a positive attitude.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
